Case Study: Liverpool Benefits Advice CIC

A Liverpool benefits advice CIC was running on a Facebook group, a USB spreadsheet, and a shared inbox — a system on the brink of collapse when Covid-19 struck. We delivered a six-month digital transformation: a new website, a HubSpot CRM adapted for casework, secure cloud tools, and hands-on training for all ten volunteers. The results: 77% less time per enquiry, 87% fewer data errors, and roughly £228,000 in annual social value created — a 25:1 return on investment. Zero missed tribunal deadlines since launch, and hundreds of vulnerable clients receiving faster, more reliable support.

From Spreadsheet Chaos to Digital Confidence: Transforming a Liverpool Benefits Advice Charity

When Covid-19 made face-to-face advice impossible, a Liverpool-based benefits advice CIC faced an existential crisis. Operating on a no-win, no-fee basis with a shoestring budget, the organisation relied on a private Facebook group, a spreadsheet passed between volunteers on a USB drive, and a single shared inbox — a system already buckling under the strain of helping vulnerable clients fight benefits decisions.

Over six months, we delivered a complete digital transformation: a new WordPress website with integrated donation functionality, a HubSpot CRM creatively adapted for casework (using sales pipelines to track appeals and tribunals), secure Google Workspace email and storage, and e-signature integration for client consent forms. Crucially, we trained all ten volunteers through a blended programme of workshops and 1:1 coaching, ensuring the system worked for real people, not just on paper.

The results were transformative. Time spent per client enquiry dropped by 77%, data entry errors fell by 87%, and volunteers redirected an estimated 1,500 hours a year from admin back into frontline advice — worth roughly £228,000 in annual social value, a 25:1 return on the project investment. Zero tribunal deadlines have been missed since launch.

Most importantly, clients like the woman who secured £7,200 in backdated PIP payments experienced faster, more consistent support at a time when they needed it most.

This project shows that meaningful digital transformation doesn’t require a large budget — just the right strategic approach, free-tier technology, and genuine investment in building volunteer confidence.
